Terms of Service

Effective date: September 2026

1) Plain-English Promise

We keep policies clear, fair, and respectful of everyone’s time. Booking a session with Sophisticated Snapshots means you agree to the terms below.

2) Quick Definitions

Booking Fee / Deposit: A payment to secure your date and time.
TFP (Trade/Time for Photos): A collaboration where no session fee is charged, and both parties benefit from the images under agreed terms.

3) Booking & Payment

Your session is confirmed once the booking fee (deposit) is received.
Remaining balances (if any) are due by or on the session date unless otherwise stated in your invoice/contract.

4) Cancellations

If you are a no-call/no-show, you will forfeit your deposit, and we will not schedule with you again unless your next session is paid in full at the time of booking. We reserve your spot exclusively for you and cannot schedule someone else in your place.

5) Rescheduling

We understand life happens—people get sick and plans change.

Please provide at least 48 hours’ notice to reschedule.
If you’re sick on the day of your session, please reschedule.
If you reschedule, your booking fee will carry over to your new date.
If you need to reschedule more than one month out, a new booking fee will be required.

6) Tardiness (Late Arrivals)

Please plan enough time for travel and parking.

If you’re running late, please notify us as soon as possible.
If you have a 60-minute session and arrive 15 minutes late, your session becomes 45 minutes to honor the next client’s time.
If you are more than 15 minutes late without notifying us, your deposit is forfeited and the session is canceled.
If we are running late, we will notify you, and your full session time will be honored.

7) TFP (Trade for Photos) Sessions

If a TFP agreement is in place, these rules apply:

TFP modeling sessions include 7 edited photos.
No RAW (unedited) files are provided.
The images to be edited will be mutually agreed upon before editing begins.
A refundable deposit is required to hold the time; if you attend on time as scheduled, it will be returned/credited after the session (typically within 3–5 business days).
If you fail to show up or are late (see tardiness policy), the deposit is forfeited.

Note: For standard (paid) sessions, deposits are non-refundable (see Section 9).

8) Location & Scheduling Notes

Some sessions may take place in studio or on location; special sets/props (e.g., themed vehicles) may only be available on specific dates/venues.
Weather, venue rules, or permits may limit certain setups. We’ll advise alternatives if needed.

9) Deposits & Refunds

DEPOSITS ARE NON-REFUNDABLE for standard (paid) sessions.
For TFP sessions only, the deposit is refundable upon timely attendance (see Section 7).
Booking fees are not transferable to other individuals unless approved in writing.

10) Image Creation, Editing & Delivery

Edited images are selected per your package or TFP terms.
RAW files are not delivered.
Our editing style includes color correction, exposure, and light retouching consistent with our portfolio.
Additional retouch requests beyond the included edits may be quoted and billed separately.
Delivery is via private online gallery/email link to the email on file within the timeline communicated for your session or event.

11) Usage Rights & Model Release

Client personal use: You receive a non-exclusive, non-transferable license for personal use (printing, personal social sharing with credit). Commercial use requires a separate license.
Photographer portfolio use: Unless you opt out in writing before the session, you grant permission for Sophisticated Snapshots to use images for portfolio, website, social media, studio samples, competitions, and marketing.
A model release may be required for certain sessions; minors require a parent/guardian signature.

12) Safety, Conduct & Minors

We maintain a safe, respectful environment. We may end any session due to unsafe conduct, harassment, or policy violations—with no refunds.
A parent/guardian must be present for all sessions involving minors.

13) Rescheduling by Photographer / Force Majeure

If illness, emergencies, equipment failure, extreme weather, or events beyond our control prevent us from performing:

We will reschedule at the earliest mutually available date, or
Offer a credit for a future session.
In true force majeure scenarios, liability is limited to payments received.

14) Limitation of Liability

While we take every professional precaution, Sophisticated Snapshots’ liability for any claim is limited to the amount paid for the session giving rise to the claim. We are not liable for incidental, consequential, or indirect damages.

15) Privacy

We respect your privacy and only use your contact details to manage your booking, deliver images, and communicate relevant updates. We do not sell your information.

16) Governing Law

These Terms & Conditions are governed by the laws of the state in which the session occurs, without regard to conflict-of-law principles.

17) Acceptance

By booking, paying a deposit/fee, or attending your session, you acknowledge that you’ve read, understood, and agree to these Terms & Conditions.

Friendly Recap (TL;DR)

Cancel/no-show: deposit forfeited; future bookings require payment in full.
Reschedule: 48-hour notice; fees carry over; >1 month out = new booking fee.
Late: 15 minutes late = shorter session; >15 minutes without notice = forfeited deposit.
TFP: 7 edits, no RAWs, refundable deposit if you show on time; otherwise forfeited.
Standard sessions: Deposits are non-refundable.
